We are hiring Administrative & HR Coordinator

Administrative:

1.    Prepare and process employment related documents (Labour contracts, leave forms etc.)

2.    Checks expense reports (availability of the necessary documentation, approvals etc...)

3.    Store all original version of the work contracts, amendments and all employment related documents in the employee file

4.    Store scanned version of work contracts, amendments and all employment related documents in Peopledoc electronic database

5.    Send employees documents to the counterparties

6.    Order supplies for the office

7.    Enroll new employees in the medical plan

8.    Organize and supervise all travel arrangements for employees

9.    Ensure that all government licenses and Certificates are renewed in a timely manner

10. Focal point for sending/reception of documents to/from the company

11. Support Projects & Operations Team in the filing/storage of projects related hard copies documents.

Human Resources:

Hiring related activities: (Assist in posting job ads on careers pages and processing received resumes)

a.    interacting recruitment agency

b.    interviewing candidates

2.    In charge of issuing recruitment and dismissal related documents in interaction with candidates or employees (for permanent and short term contracts)

3.    Filling all new employee or termination related documents and online registration

4.    Requesting applications/docs for hiring/dismissal

5.    Order and prepare visa invitations for foreign guests

6.    In charge of issuing letters of invitation for visas and travel coordination

7.    Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off

8.   Organize, compile, update company personnel records and documentation

9.    Organize and manage new employee orientation, on-boarding, and training program

10. Coordinating and assisting with periodic processes, such as auditing accuracy of information, collation of completed appraisal documentation, auditing training logs etc.

11. Other ad hoc duties as required by the HR department, including participation in project work.
