The Receptionist is the first point of contact for the company and is responsible for providing a positive and professional impression to all visitors, clients, and employees. This role involves a variety of administrative and clerical tasks to support the smooth operation of the front desk and overall office environment.
Key Responsibilities:
1. Greeting and Welcoming:
- Welcome visitors and clients as they arrive at the office.
- Direct visitors to the appropriate person or department.
- Ensure a positive first impression through a friendly and professional demeanor.
2. Answering and Directing Calls:
- Answer, screen, and forward incoming phone calls.
- Provide basic and accurate information in-person and via phone/email.
3. Visitor Management:
- Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
- Ensure the reception area is tidy and presentable, with all necessary materials (e.g., pens, forms, and brochures).
4. Customer Service:
- Address and resolve customer queries and complaints in a timely and efficient manner.
- Provide excellent customer service and support to all clients and visitors.
5. Record Keeping:
- Maintain accurate records of visitors, calls, and other relevant information.
- Update and maintain contact lists and internal directories.
