Parts Department Management
- Develop department goals, business plans, budgets, and resources in coordination with all appropriate parties
- Develop necessary policies, processes, and KPIs to maintain operational excellence
- Adhere to manufacturer’s instructions, policies and procedures, and training requirements as and when issued
- Oversees the management of the wholesale and retail sales function; responsible for establishing and meeting assigned sales targets
- Develop monthly reports (financial statement, parts stock movements, emergency purchases, etc.) and take remedial action as required
- Address significant department issues affecting company operations and solve in accordance with approved mitigation plans
Stock Management
- Coordinate with appropriate parties to project spare parts demand targets based on vehicle parts, special campaigns, safety stock and re-order level by vehicle and model type
- Manage emergency/VIP orders to ensure timely deliveries to minimize delays and control service levels
- Provide inventory management for central warehouse and all regions
- Review weekly stock re-order reports from the system and check for consumption and/or obsolescence indicators
- Analyze obsolescence or dead stock and recommend their disposal to the Head of Aftersales.
- Regularly communicate with internal and corporate clients with regard to parts availability and the status of emergency/VIP pending orders
Financial
- Prepare department sales, revenue and operating budget
- Meet actual monthly sales, gross and operating profit; compare against targets to determine the level of achievement and take remedial action as required.
- Coordinate credit limit authorizations and monitor collection against receivables to ensure credit worthiness of customers
- Implement procedures to ensure proper control of cash sales
Business Development
- Undertake competitive market research to ensure reasonable prices are offered by the company
- Promote sales operations efforts to increase sales of accessories by preparing items in a timely manner
Employee Management
- Assess skills of staff and arrange on-the-job training and deliver performance appraisal reports
- Develop/recommend incentive programs to reward high achievers against agreed upon performance indicators in a fair and equitable manner
- Ensure effective performance in the department through the selection, development, and deployment of competent employees
- Communicate guidelines and processes to employees and ensure their understanding and adherence to them
- Monitor employees compliance to company guidelines, policies and procedures
